Who We Are

FreightSeal is a per-load carrier verification platform. FreightSeal is operated by DBW Transport LLC, 2720 Culbertson St #115, Fort Wayne, IN 46802. Contact: [email protected]. Our website is freightseal.net.

Information We Collect

We collect the following categories of information:

• Account information. Your DOT or MC number, company name, email address, and phone number for broker and cargo-owner accounts. Carriers sign in with a one-time code sent to their FMCSA-registered phone number.
• Public FMCSA carrier data. Company name, authority status, registered phone number, and address drawn from the public FMCSA carrier registry.
• Verification records. Timestamps, load identifiers, session outcomes (confirmed, declined, expired), and the status of each check on a load.
• Insurance documents and vehicle lists. Certificates of insurance and the vehicle (VIN) lists we receive from the carrier's insurance agent.
• Pickup confirmation. At pickup we confirm that the driver is at the pickup location and collect a photograph of the vehicle's VIN plate.
• Cargo-owner data and orders. Order details and shipment records for cargo owners who use the owner portal.
• Contact and support messages. The information you provide through our contact form or support chat.
• Payment information. Billing is handled by our payment processor, Stripe. We do not store full card numbers.
• Usage data. Standard server logs, including IP address and request timestamps, for security and troubleshooting. We use essential cookies only to keep you signed in; we do not use advertising or tracking cookies. We use cookie-free website analytics (Cloudflare Web Analytics) to count page visits. It does not use cookies or build profiles of individual visitors.

How We Use Your Information

We use the information we collect to operate the FreightSeal verification service:

• To run per-load verification — SMS and voice to carriers, insurance confirmation with the agent, pickup confirmation, and VIN match
• To authenticate broker, carrier, and cargo-owner accounts
• To maintain verification history and records
• To process payments
• To respond to support requests
• To detect and prevent fraud or platform abuse

SMS and Voice Messaging and Consent

FreightSeal sends transactional text messages and, where needed, places transactional voice calls — never marketing. A message is sent only when an action on FreightSeal involves your number. The types are: load verification links to the carrier's FMCSA-registered number; a voice call that asks the same question when a text is not answered or the number is a landline; a pickup link to the driver; one-time login codes for brokers and carriers; one-time dispatcher phone-confirmation codes; notices to a carrier owner when someone asks to be listed as their dispatcher; and dispatcher-check questions a signed-in broker sends to the carrier's FMCSA number. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for assistance. Consent to receive these messages is not a condition of purchase or use of the platform. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. How We Share Information

We do not sell, rent, or trade your information. Mobile information will not be shared with third parties for marketing purposes. We share information only as needed to operate the service:

• The broker who initiated a verification sees the results of that verification.
• A cargo owner sees the status of their own loads — not the carrier, the insurance, or the VINs.
• A carrier reliability rating is visible to brokers; reviews brokers leave are shown anonymously.
• We use service providers only to operate the platform, by category: payment processing, SMS and voice delivery, email delivery, hosting, and document processing. These providers process data only to perform the services we request and are not permitted to use it for their own purposes.

Data Retention

Verification records and insurance documents are retained for 3 years from the date of the load, matching broker record-keeping under 49 CFR 371.3. Pickup photographs are retained for 180 days and then deleted. Account data is retained for as long as the account is active and for 90 days after deletion. SMS delivery records are retained for 90 days.

Your Rights

You may request access to, correction of, or deletion of the personal data we hold about you by emailing [email protected]. Carriers may opt out of SMS or voice messages at any time by replying STOP to any message.

Security

All data is transmitted over HTTPS. Passwords are stored as salted bcrypt hashes; we do not store plain-text credentials. Access to our systems is restricted and protected by firewall rules and access controls.

Changes to This Policy

We may update this policy from time to time. The effective date at the top of this page reflects the most recent revision. Continued use of the platform after a policy update constitutes acceptance of the revised policy.
